Case Study: Healthcare Organization Reduced SLAs over 50% for Prior Authorizations and Referrals

This healthcare organization consistently missed meeting their SLAs for prior authorizations and referrals. Through the use of visual analytics they lowered their missed SLAs for prior authorizations to less than 1% and reduced the missed SLAs for referrals by 75%.

The Visual Analysis/Challenge

Using the Magellan dashboards they were able to drill-down into the two problematic document types, prior authorizations and referrals, and view all users who were processing these documents. Through a deeper review of the dashboard data, the team was able to assess how quickly and accurately a specific user was able to process these types of documents.

  • Prior Authorizations – the analysis revealed a particular set of users were processing 75% of this document type in half the time as the other users.
  • Referrals – the analysis revealed that 80% of them were having to be manually identified by a user before even beginning to process them.

This analysis helped us identify that in one case it was a resource problem and the other was related to data classification.

The Solution

The solution consisted of incoming faxes being routed through OpenText Intelligent Capture, augmented with Magellan’s AI Text Mining to provide textual analysis and data visualization capabilities. For these incoming prior authorizations and referrals, this solution was able to provide real-time insight into processing times allowing the business to make informed decisions on how to improve on the organization’s SLAs.

The Result

Now that the source of the problem had been identified, we were then able to outline the steps to meet the strategic goal of reducing the SLAs by 50%.

  • Prior Authorizations – A separate group was created to include only those users most efficient at processing these types of documents and excluding those that were less efficient. Therefore, only the most efficient users would be processing prior authorizations. This resulted in less than 1% of SLAs being missed and crushing the 50% strategic goal.
  • Referrals – Rolled out plan to better classify these unstructured document types upon ingestion was put into place so that manual classification would be reduced. This resulted in an SLA reduction of 75%, again exceeding the strategic goal of 50%.
