Background

Modernizing a Complex Land Management Environment
As part of a strategic digital transformation initiative, the organization sought to reimagine how land management processes and information were managed across the business. Critical land records, workflows, and operational data were distributed across multiple systems, creating inefficiencies and limiting visibility.

Over time, the environment expanded to include file shares, SharePoint repositories, OpenText systems, proprietary applications, and other disconnected platforms. This fragmented landscape made it difficult to access information, maintain consistency, and generate meaningful operational insights.

 

The Challenge

Land operations relied on manual processes for document ingestion, email capture, reporting, and information management. Key business records were scattered across numerous repositories, making it difficult for teams to locate content, maintain data accuracy, and establish consistent governance. The lack of centralized reporting and process automation created operational inefficiencies and limited the organization's ability to scale effectively.

 

The Solution

Alitek designed and implemented a modern enterprise information management solution built on OpenText Content Server and AnswerModules technology. The solution provided a centralized platform for managing land-related documents, workflows, reporting, and business processes.

To support complex operational requirements, Alitek developed 12 custom AnswerModules forms, workflows, and reports tailored to the organization's unconventional land management processes. Automated capture capabilities streamlined email and document ingestion while reducing manual intervention.

The platform was deployed within AWS and integrated with Databricks to enable secure content exchange across enterprise systems. Additional integrations connected critical business applications, including Quorum Land Management and SAP, creating a more connected digital ecosystem.

Alitek also delivered a unified landing page experience that served as a single entry point for daily operations. Users could initiate workflows, manage assignments, search content, update metadata, access reports, upload documents, and process incoming communications from one centralized interface.

A large-scale migration effort consolidated information from legacy repositories, including OpenText, OnBase, SharePoint, file shares, and acquired business units. More than 25 million files were successfully migrated into the new environment while maintaining business continuity and information integrity.

 

Results and Outcomes

The transformation delivered a modern, scalable platform that significantly improved land management operations. More than 700 users were enabled with streamlined processes and improved access to business-critical information.

The organization retired 12 legacy applications, reducing system complexity and lowering administrative overhead. Consolidating data and workflows into a unified platform improved visibility, strengthened governance, and enhanced reporting capabilities.

Migration of more than 25 million files established a trusted single source of truth for documents and metadata. Integrated workflows and automated processes reduced duplication, improved accuracy, and created a more efficient end-to-end experience for land management teams and business partners.
