How is VIM licensed for SAP?

VIM is licensed as an add-on to an existing SAP ECC or S/4HANA instance rather than as standalone software. It runs inside SAP and is purchased through OpenText or through SAP, which resells it as SAP Invoice Management by OpenText. The commercial structure is simpler than most enterprise software: the core solution, which includes the workflow, approval, and supplier self-service components, and an optional capture and OCR component that also bundles the scanning software. Public list pricing is not available, and quotes typically scale with the scope of deployment, such as company codes, business units, or transaction volume.

Annual maintenance follows the vendor's standard support model as a percentage of the license fee, and the exact rate belongs in the quote rather than in a planning estimate. Organizations running SAP through RISE with SAP may see subscription terms, while on-premise deployments more commonly use perpetual licenses. We help clients scope licensing as part of a VIM assessment, so the license conversation happens with the deployment design and business case in front of it rather than in isolation.
